Description
The Executive Assistant and Board Liaison ensures the smooth day-to-day operations of the Executive Director’s Office, providing vital support to the Executive Director and the Board President. Acting as the primary liaison to the Board, this role demands exceptional organizational and communication skills, along with the ability to work efficiently and professionally under pressure in a fast-paced environment. The Executive Assistant works closely with all Museum departments and external stakeholders, exhibits a high level of professionalism, and has a keen attention to detail.
Education and Experience
- Administrative experience, preferably supporting a senior leader.
- Post-high school education or training is preferred.
- Strong computer skills and a high comfort level with technology, particularly with Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, Teams, OneDrive/SharePoint) and customer relationship management databases.
- Experience managing hybrid meetings with in-person and remote participants.
- Excellent verbal and written communication skills, and the ability to manage deadlines and produce accurate work.
- A polished and personable demeanor when interacting with colleagues, visitors, and stakeholders.
- Ability to troubleshoot systems, solve problems creatively, and make independent decisions in a fast-paced environment.
- Flexibility and attention to detail, with the ability to work independently with moderate
supervision. - Ability to maintain discretion and uphold high standards of confidentiality in handling personnel records, financial data, and other sensitive matters.
- Demonstrated ability to handle confidential and sensitive information.
- Exceptional multi-tasking skills with the ability to work on projects big and small.
Organizational Structure: Reports to the Executive Director
Schedule: Full-time, salaried position (40 hours/week, Monday-Friday, 9 AM–5 PM with occasional extended hours as required). This role is not conducive to work-from-home arrangements, and candidates must reside in or relocate to the Dover, DE area.
Responsibilities
- Provide administrative support to the Executive Director, including managing their calendar, correspondence, and presentations. Also manages other museum calendars as assigned.
- Independently handle high-level projects assigned by the Executive Director.
- Coordinate and help prepare spaces for meetings and video calls, including travel and meal arrangements as needed.
- Coordinate with the IT company to resolve technical issues when necessary.
- Serve as a liaison to the Board President, preparing meeting documents, scheduling meetings, and taking minutes when necessary. Archive board documents and maintain organizational files.
- Other duties as assigned.
Compensation
The position offers a salary range of $36,000 to $46,000 annually commensurate with experience, along with insurance benefits, IRA match, PTO, and more.
